Part Time Administrative Assistant
The Euro-Mediterranean Human Rights Network (EMHRN) invites candidates to apply for the post of administrative assistant for its Brussels office.

Role: The Administrative Assistant will work closely with other staff in the EMHRN Brussels office in providing administrative and secretarial support and services, as required, to help to achieve the aims and objectives of the organization and to implement its projects.
Duties include: 
  • General secretarial duties including the maintenance of files and the storage of documentation, the maintenance of diaries and the conduct of relevant correspondence;
  • Office management (filing, equipment, supplies, cleaning, letters, etc)
  • Assist the IT coordinator
  • Management of the Brussels office data base
  • Make reimbursements and transfers related to EMHRN activities and maintain book keeping
  • Ensure administration of petty cash and appropriate safe in this regard
  • Prepare per diems
  • Keep accounts of stocks (books, furniture, etc)
  • Handle insurances, wages, lunch vouchers, etc
  • Assist staff in organising meetings, conferences
  • Manage relations to translators and interpreters
  • Assist with language proof reading in English and French
  • Work under direct supervision of Head of office

     

    Principal qualifications and core competences: A high standard of secretarial skills
    Salary: Based on qualifications and according to wage levels for Brussels NGOs.
    Start of the assignment:  As soon as possible
    Duration: unlimited contract with probation.Interview will take place mid May in Brussels.
    Excellent knowledge of information technology, command of Windows work environment and of Microsoft Office, ability to work with a data base
    Excellent organizational skills with capacity to deal effectively with changing priorities
    Ability to keep strict deadlines and deal with several projects simultaneously
    Ability to efficiently enquire to obtain information, analyze relevant data and provide summary reports, including basic financial reports.
    Good co-operative, team work and communication skills in a multicultural environment
    Ability to work independently and take initiatives
    Ability to work under pressure.
    Excellent knowledge of English and French. Arabic is an asset.
    Knowledge of NGOs’ world is an asset
    Knowledge of the functioning of the EU institutions is an asset  

  • Administrative Secretary

    The Euro-Mediterranean Foundation of Support to Human Rights Defenders (EMHRF) invites candidates to apply for a position as Administrative Secretary.
     
    Background:
    The Euro-Mediterranean Foundation for Support to Human Rights Defenders (EMHRF) is a Danish-based foundation established in the end of 2004. The Foundation aims at supporting human rights defenders by means of small scale, flexible funds and is envisaged as a specific initiative for the South and East Mediterranean region. The Foundation’s trade mark is to support human rights defenders in difficulty or at risk as well as capacity building of innovative projects carried out by small human rights organisations and groups that do not have the capacities to maintain contacts with the main donors or fall outside mainstream donors’ categories (www.emhrf.org). The Secretariat is located in the city center of Copenhagen and consists of a Programme Coordinator and a student assistant working in close contact with the Board of the EMHRF, consisting of nine members.
     
    Duties:
    The job is administrative. The main duties of the administrative secretary will be: 
    • Prepare the practicalities of meetings (calendar, flights, hotel, per diem, etc.)
    • Prepare documents and letters (reimbursement, ensure editing if needed, translations, etc.)
    • Make reimbursements and transfers related to the EMHRF activities
    • Facilitate the management of donors contracts (monitoring deadlines, obligations, reporting)
    • Facilitate the management of grantees contracts (monitoring deadlines, obligations, reporting)
    • Office management and logistics (filing, equipment, supplies, letters)
    • Handle insurance, time registration and holidays issues
    • Create and maintain database
    • Prepare documentation for book keeping
    • Advise on potential investments, saving
    • Assist with small translations, manage relations to translators and interpreters
    • Recruitment of interns and student assistants if needed
    • Facilitate staff developments if needed (training, etc.)
    • Ensure reporting and evaluation of the activities
     
    Qualifications:
    ·         Excellent working knowledge of English and French (Danish an additional advantage)
    ·         Computer literacy
    ·         Developed communication skills (oral and written)
    ·         Ability to keep strict deadlines and deal with several projects simultaneously.
    • The administrative secretary should be self-motivated, well organized and able to work fast.
     
    Working hours and wage: The administrative secretary will be employed to work 37 hours per week according to the Danish scale of wages based on qualifications and experiences.
     
    Start of assignment: as soon as possible.

    The Euro-Mediterranean Human Rights Network (EMHRN) is looking for freelance persons who can translate and proofread documents:

    Qualifications Needed
     

        * Degree in translation or equivalent experience
        * Native speaker of one of the languages
        * Knowledge of and experience with human rights terminology would be desirable
